Administrative / Executive Assistant (Full-Time Position)

Required Skills:
Proven experience as an executive administrative assistant or similar role
Excellent organizational and time management skills
Strong attention to detail and accuracy in work
Microsoft Office including Excel, Outlook, Word
Knowledge of Outlook Calendar for scheduling purposes
Letter-writing skills (grammar, formatting, spelling, etc.)
Telephone etiquette, good "phone voice"
Organizational skills - scheduling
Inter-office communication
Ability to multitask and prioritize tasks efficiently
Strong customer / client service orientation
Paralegal background a plus
Knowledge of QuickBooks a plus
General Duties (including but not limited to):
Provide high-level administrative support to executives and senior management
Manage calendars, schedule appointments, and coordinate inspections and meetings
Prepare and proofread documents, reports, and presentations
Perform data entry and maintain accurate records
Assist with customer / client service inquiries and provide support as needed
Operate phone systems, answer calls, and direct inquiries to the appropriate personnel
Perform general clerical tasks such as filing, photocopying, and organizing documents
Correspondence / follow-up with clients
Supply inventory / organization
Retrieve files for engineers
